    Job description

     

    My client is a leading professional services due to internal growth and development plans they now have an opening for an experienced HR Administrator to join their HR team.  This role would suit someone who has worked within a HR environment in Senior Administrative role.  The successful candidate will often be the first point of contact with the HR department and we are therefore looking for a pro-active, friendly and approachable person who is able to operate effectively at all levels. This is a great role for someone who enjoys assuming responsibility for all aspects of administration and thrives on being integral to the overall success of the team. This role is 30 hours per week to be taken over four or five days.

    HR Team Assistant the role:
    Assisting and participating as required on HR team projects, especially where they relate to HR systems and processes;
    Assist the Head of HR in managing the HR budget and liaising effectively with the Finance department to request cheques, bank transfers, paying invoices, as appropriate;
    Dealing with internal and external queries, responding as appropriate and/or ensuring that all messages are passed on in a timely manner;
    Drafting general correspondence;
    Arranging meetings, booking conference rooms across offices, refreshments, checking rooms prior to meetings etc and liaising with other attendees, both internal and external;
    Managing diaries, ensuring they are up to date and reminding members of the HR department of meetings etc on a daily basis;
    Monitoring post and/or e-mails and dealing with promptly as appropriate;
    Scanning, electronic filing, record keeping and archiving;
    Liaising with the Reception team to organise travel arrangements and dealing with related invoices; and

    Candidate specification:
    Proven experience as an Administrator/Assistant in a similar role, preferably gained within a law firm or professional services environment;
    IT skills that include excellent working knowledge of Microsoft Office applications including Word and Excel; 
    Experience or aptitude for using IT systems (although Open HR experience not essential);
    An excellent telephone manner and communication skills, with the ability to liaise effectively with people at all levels in the firm;
    Excellent attention to detail; and excellent time management skills and the ability to prioritise work effectively.
